WITHDRAWAL AND REFUND PROCESS
Please note that all requests for withdrawal from a current undergraduate academic programme of study at the University of Ghana must now be submitted exclusively through the STS Portal.
(The following process is meant for students who intend to withdraw ONLY. Student who are maintaining their studentship should refer to the refund without withdrawal process at the end of this page.)
Kindly follow the steps outlined below:
- Log in to the STS Portal using your UG Student ID Number and PIN.
- Click on the “Withdrawal Request Form” tab.
- Complete all fields marked with an asterisk (*).
- State the purpose of your withdrawal (Explanation).
- Indicate the reason(s) for withdrawal by selecting from the listed options.
- Under Refund Request, specify whether you are requesting a refund, or not.
- If requesting a refund, upload copies of your payment receipts and any relevant supporting documents in the designated section.
- In the Bank Information section, complete all required fields marked with an asterisk (*).
- Click “Submit Form” after ensuring that all sections have been duly completed.
- Submit student ID card at Room D10, Academic Affairs Directorate (AAD) and sign for the return. All other University property should be returned to the appropriate offices. This includes library books, laptops, room keys. etc.
Timelines for request submission:
- Freshmen: For refund to be considered on withdrawal, the request should be emailed before the deadline for withdrawal indicated on the admissions letter. Refund will be granted, less 30% of total academic fees due. Following this period, any payments made will be non-refundable.
- Continuing students: For refund to be considered on withdrawal, the request should be emailed before the deadline for regular course registration within the semester of the withdrawal. Following this period, any payments made will be non-refundable.
Important Notes:
- Students are required to provide accurate bank details. The University shall not be held responsible for any incorrect transfers arising from inaccurate account information provided.
Students are not permitted to apply for another programme of study without an approved withdrawal from their current programme. Failure to comply may result in sanctions, including loss of studentship for both programmes.

REFUND WITHOUT WITHDRAWAL
Process for refund without withdrawal:
Using official UG student email address, send an email request for refund to the Director, Academic Affairs Directorate via email at aad@ug.edu.gh, with the following documents attached:
1. Letter requesting for refund from your UG account – give reasons and indicate full name, UG student ID number and College.
2. Completion of Refund Form: Fill out online, print, sign and scan the Student Refund Request Form available on the STS platform of the University of Ghana website. For additional details on the refund form, please refer to your admission documents.
3. Copies of all payment receipts for academic fees. (Contact the appropriate official for refund requests relating to accommodation and other non-academic payments).
4. A copy of the admission letter (Freshmen only)
5. A copy of Student ID card (Continuing students only)
Check for an official approval letter of the request from AAD via the same email.
