Congregation is the culmination of years of work, but the weeks leading up to it catch a surprising number of students off guard. Almost every problem is administrative, and almost every one is avoidable if you start early.
Confirm your results are complete
Check your results for every semester, not just the final one. An outstanding grade, an unresolved incomplete, or a course you took but never formally registered for will block your name from the graduation list. If something looks wrong, raise it with the Departmental office immediately — corrections take time to move through the system.
Clear your obligations
- Library: return all borrowed books and settle any charges.
- Laboratory: return keys, glassware and equipment, clear your bench and freezer space, and make sure your project samples are properly labelled and stored or discarded as your supervisor directs.
- Hall of residence: complete check-out and clear any outstanding dues.
- Fees: any outstanding balance will hold up your clearance.
Submit your final thesis or project report correctly
Follow the required format exactly — binding, declaration page, supervisor signature and the number of copies specified. A report rejected on formatting grounds is a genuinely frustrating way to lose a week.
Register as a graduand
Graduating is not automatic. You must register as a graduand within the window announced by the University, and pay the graduation fee. Watch the official University of Ghana notices and your student email, and do not rely on word of mouth for the deadline.
Academic dress and the ceremony
Gowns are hired, collected and returned on a schedule — collect yours early rather than on the eve of the ceremony. Note the reporting time for your session; gates close before proceedings begin, and latecomers are not seated. Confirm how many guests you may bring before making arrangements for family.
Afterwards
Request your transcript and, if you need it before your certificate is ready, a letter of attestation. If you are applying for graduate study or scholarships, ask for academic references while your project is still fresh in your supervisor’s mind.
For dates, fees and official requirements, always check the current notices from the University of Ghana Academic Affairs Directorate, as these change from year to year.
