Protocols Guiding The Reopening Of The University To Continuing Students Who Were Unable To Participate In The Online Teaching And Learning Programme

Dear Students,

PROTOCOLS GUIDING THE REOPENING OF THE UNIVERSITY TO CONTINUING STUDENTS WHO WERE UNABLE TO PARTICIPATE IN THE ONLINE TEACHING AND LEARNING PROGRAMME

As communicated in the Registrar’s notice to the University community, continuing students, who were unable to participate in the online teaching and learning programme will be received back to campus from August 31, 2020, to complete their programmes for the second semester of the 2019/2020 academic year. These students are to take note that they are not compelled to return to campus at this time, since they also have the option of making up for their outstanding courses within three years.

The following protocols have been put in place to receive students who wish to relocate to campus to complete the 2019/2020 academic year:

Pre-arrival

1. Students are required to fill and sign off on the following forms (available here https://sts.ug.edu.gh), preferably before they return to campus:

a. COVID-19 Screening Questionnaire;

b. Infection Prevention and Control Agreement;

c. Student Hall/Hostel Residence Consent & Waiver Form;

d. Course registration form:

Students should indicate the courses they are returning to complete. These should be courses for which they have already registered on the MIS Web, for the second semester of the 2019/2020 academic year. Deadline for this registration is September 4, 2020.

Students will need to show evidence of having signed off on these forms before the admission process into halls/hostels of residence can begin.

2. Non-resident students who wish to re-locate to campus will be required to pay a Residential Facility User Fee of Three Ghana cedis per day (GHS3/day). This fee is applicable to the traditional halls of residence.

3. Non-resident students who are interested in taking up residency should go to the Hall they wish to apply for accommodation and go through the necessary application procedures. Such non-resident students are also required to fill and sign off on the above-mentioned forms.

4. Students who move into residence will be bound by prescribed hygiene and safety protocols. They are expected to move in with at least, three (3) reusable face masks (or sufficient quantities of disposable masks) and alcohol-based hand sanitisers for their personal use. The University will augment the students’ supply from available stock.

In-residence

In order to minimise transmission of COVID-19 from student to student and from persons external to the University community, students will not be permitted to entertain visitors in their rooms or within the halls/hostels of residence.

Academics

Students should note that while on campus, lectures will be delivered online by mainly using the Sakai LMS. Computer laboratories at UGCS, Balme Library and other Units will be made available. However, students are encouraged, if they have the means, to come along with appropriate electronic devices that will facilitate the teaching and learning process.

The Academic Affairs Directorate will issue further communication on other academic procedures for students who wish to sign up for the make-up lessons and the examinations which will follow. Students, whether on- or off-campus, will continue to be bound by regulations and procedures applicable to Junior Members.

Continuing students in this category, who wish to move back to campus, are advised to take due note of the above arrangements.
