Considerations which assist The Research and Conferences Committee in deciding on Applications to attend Conferences, Meetings, Seminars and Workshops
The Academic Staff
The committee would prefer to have the opinion of the Faculty Board/Management Board of Schools and Institutions in order to guide it in this matter. It is required that all the applications should pass through this channel. A careful scrutiny of applications by these entities would be helpful to the Research and Conferences Committee.
Importance of the Conference
The Committee requires detailed descriptive material on the conference from the applicant who should also submit a photocopy of the invitation to attend the conference. Priority would be given to conferences of academic merit. The Committee would not normally support attendance at conferences of national organizations of foreign countries.
Other Sources of Support
The conferences budget of the Committee in relation to demands of the University’s academic community is very small indeed. The Committee endeavours to assist as many applicants as possible. For this reason, those applicants who get substantial financial support from other sources normally receive more sympathetic consideration.
Degree of Participation
Usually the Committee expects the applicant to present, review, referee or critically give evidence of active participation in the conference. Mere attendance is not enough grounds for funding.
Place of Conference
The more distant (and therefore costly) the conference, the more stringent is the Committee in respect of the above criteria. Definite preference is given to subjects relevant to Africa and to conferences held in Africa.
State of Finances
Often the Committee is unable to grant last minute requests made towards the end of the fiscal year due to previous commitments of its funds. The Committee
therefore normally requires a notice of at least 3 months to consider an application. A convincing explanation would be necessary before emergency requests can be considered especially when information concerning the conference in question has been available well in advance of the application.
The Committee examines its records to determine whether the applicant has already received support from the Committee during the current fiscal year; and whether a satisfactory report was received from the applicant concerning the last grant made by the Committee to the person in question.
It is the responsibility of the applicant to provide clear and readable photocopies of all documents that the Committee would need to arrive at a decision on the application. He/she must also supply a full breakdown of the financial assistance sought. The Committee cannot be expected to contact airlines/agencies to find out the travel costs, especially the most economic means of air travel e.g. availability of excursion fares. This must be done by applicants and documentation presented to the Committee.
