Internal Advertisement - Vacancy for Administrative Position

The University of Ghana hereby invites applications from suitably qualified persons within the University for the position of Assistant Registrar.

POSITION:            ASSISTANT REGISTRAR

REPORTING TO:        REGISTRAR

JOB ROLE

Without prejudice to the functions of the specific unit to which the Assistant Registrar will be assigned, the job role requires operational support for the achievement of the objectives of the Registrar’s offices. This includes:

1.    Management of Academic Affairs - handling registration and student records, responsible for maintaining the integrity of student’s personal information and academic records as well as provision of students’ services;

2.    Human Resource Management;
3.    General administration;
4.    Management of physical facilities and services;
5.    Management of financial resources; and,
6.    Providing secretarial services to University boards and committees.

QUALIFICATIONS

1.    The applicant must:
a.    be a staff of the University of Ghana at the grade of at least, Senior Administrative Assistant;
b.    have a good first degree plus an advanced degree in a relevant field from a recognised institution; and,
c.    have at least two years relevant post-second degree qualification experience.

2.    Required knowledge, ability and skills:
a.    The position requires a high level of integrity, as the position holder will be exposed to confidential and sensitive information:
b.    Ability to maintain a professional behaviour in all situations:
c.    Excellent oral and written communication skills;
d.    A good understanding of governance and decision-making processes at UG;
e.    Proven analytical skills - ability to assimilate detailed information and identify key issues;
f.    Highly organised, efficient and resourceful with the ability to multi-task amid conflicting demands and busy work periods;
g.    Experience with the management of staff;
h.    Excellent attention to detail and deadlines; and,
i.    Highly computer literate - knowledge of Microsoft office applications.

MODE OF APPLICATION

An applicant is required to submit the complete application pack to the Registrar, University of Ghana, P. O. Box LG 25, Legon, Accra (Hard copy); or registrar@ug.edu.gh (Soft copy).  The application pack should contain the following:
1.    Completed application form for Senior Administrative and Professional employees (UAB Form 1B) to be downloaded from the University’s website at: www.ug.edu.gh/hrodd;

2.    An up to date Curriculum Vitae;

3.    Copies of relevant educational and professional certificates; and,

4.    Two reference letters, at least one of which should be from a Head of Unit in the University of Ghana, with whom the applicant has worked.  The reference letters should, among others, include the following information on the candidate:

a.    Professional competence and work output
b.    Leadership abilities and sense of responsibility.
c.    General Contribution to the work of the University (or relevant organization)
d.    Interpersonal skills
e.    Any other relevant information
