FOR

SELECTION OF FIRMS TO SUPPLY SOUVENIRS FOR UG@75 CELEBRATIONS

  1. BACKGROUND:

In 2023, the University of Ghana will be celebrating its 75th anniversary. The year-long anniversary is aimed at celebrating the University’s achievements and perseverance through years of unprecedented change. The theme for the 75th anniversary celebration, ‘Nurturing Resilience: Adopting Technology, Embracing Humanism’ is borne from the vision of the Vice-Chancellor, which also takes its direction from the University’s vision, and from the multiple and rapid changes occurring in Africa and our global world today, especially in higher education. 

  1. CONTEXT:
  1. The University of Ghana is inviting registered Firms in Ghana who specialise in the production and sale of the following souvenirs to sell to University of Ghana Students, Faculty and Staff as part of the UG@75 Celebrations. The suggested souvenirs and the anticipated quantities are listed in Table 1 below. The University is however open to other ideas in that regard. It is worthy of note that the University of Ghana will not guarantee the sales.

  1. The recommended firm at the end of the process would be engaged to arrange the sale and distribution of the souvenirs during the UG@75 celebrations.
  2. The University of Ghana shall be entitled to a percentage of gross revenue from sales to be made by the recommended firm as agreed or any other arrangement that the University may decide following consultations and negotiations with the selected firm.

 

  1. THE REQUEST FOR PROPOSAL PROCESS:

The process for the selection of firms shall be as follows: 

  1. QUALIFICATION REQUIREMENTS:

NB:  This is applicable to only Ghanaian registered firms.

The invitation for Request for Proposal is open to all eligible firms who meet the following requirements:

  1. Provide a company profile with organisational chart listing the Board of Directors and beneficial ownership
  2. A brief vision of the firm for delivering the objectives of the project
  3. Valid Certificate of Registration or Incorporation and Commencement of Business of Firm with evidence of renewal or re-registration at the Registrar General’s Department
  4. Valid Tax Clearance Certificate (valid up to date of Submission)
  5. VAT Registration Certificate
  6. Valid SSNIT Clearance Certificate (valid up to date of submission)
  7. Evidence of registration with Public Procurement Authority
  8. Relevant Experience of Firm in the supply of similar products (Evidence should be provided)
  9. Provide Audited Accounts for the last three (3) years (from 2019-2021) and in addition may provide a letter of comfort from a Bank.

To qualify for consideration, it is mandatory that companies submit the above requirements with their document. Failure will constitute grounds for rejection. Firms will be selected in accordance with the procedures set out in the Public Procurement Act, 2003 (Act 663), as amended by Act 914, of the Republic of Ghana.

5.         TECHNICAL PROPOSAL/CAPABILITIES

  • Evidence as a manufacturer or partnership with a manufacturer
  • Evidence of similar work done for not less than two organisations
  • Show relevant track record of previous work of similar nature and complexities undertaken within the last two (2) years.
  • Workforce to carry out the work (Availability of appropriate skills and experience of relevant key staff, etc.)
  • Samples of similar products or brochures
  • Equipment base to undertake the assignment
  1. FINANCIAL PROPOSAL:

Interested firms should provide the following information which would be used for the financial evaluation:

  • A proposal on the arrangement of the sales to the public
  • A proposal on the prices of the items
  • A proposal on the percentage of gross revenue to be given to UG after the sale
  • Any alternative proposal on how the financial gains to the University can be achieved

The firm whose proposal would be most advantageous to the University shall be considered.

  1. SUBMISSION OF PROPOSALS:

Technical and Financial Proposals clearly marked and in separate envelopes shall be submitted together with three (3) copies of each proposal with the appropriate package number indicated on the envelope and must be deposited in the Tender Box at the address stated below on or before 11:00 am on Monday, 18th July, 2022.
